Follow these four easy steps to track progress of any document.
Step 1: Chunk your document into manageable sections
- Documents are much easier to manage when you chunk them into sections.
- After creating a document using a relevant template, navigate to the workflow tab,
- Add dividers to group major sections (e.g., chapters).
- Add sections to dividers and use drag to reorder and create any hierarchy; if required.
- Duplicate any sections and drag to change the order or indentation hierarchy; if required.
- Dividers can be collapsed for easier navigation.
- The workflow structure is also visible when editing by opening the 'Outline' sidebar. You can re-order sections in the outliner.
Step 2: Add a custom calendar to your project or document
- If a document is likely to take an extended time to complete, or is a complex or long document; we recommend creating a custom calendar to help with tracking section progress.
- To track section due dates create a custom calendar just for the document or project. This makes filtering easy.
- Click on the calendar icon in the nav bar.
- Click +New and name your calendar (usually the same name as the document).
- Navigate to the document settings and in the 'tracking' part, use the drop list to select the custom calendar for the document.
- In the calendar, untick any calendar not related to the project you are working on; so you can just see the sections for a specific document.
- Adjust any section due date using drag-and-drop within the calendar.
Step 3: Add target word count and due date to each section
- Open your document
- Navigate to the workflow tab
- Click on the target icon to add a target word count
- Click on the calendar icon to add a target due date
- You can populate all sections with the same due date; if required
- Tip: An alternate way to change section due dates is by using the calendar to drag-and-drop the section reminder to a new date
- Alternatively, with the document open, open the section settings to change any target
- Alternatively, with the document open, navigate to the tools menu and open analytics. You can change the section word count target here.
Step 4: Monitor section status using the Kanban
- Open your document
- Navigate to the status tab
- Drag-and-drop section cards to the relevant column to reflect the section status
- Tip: If you are reviewing a section and it needs corrections, change its status to 'In progress' until the changes are complete
